To book a hotel for the meeting, you must first register for the meeting. Once you’ve completed registration, you will receive an e-mail acknowledging you’ve registered and providing you information on making a hotel reservation.

All rooms are subject to city and state taxes, currently 15.4 percent. These rates will be honored three days before and after the official meeting dates of January 5-8, 2011, based upon availability of the hotel at the time the reservation is made. Reservations should be made by December 16, 2011, 5 p.m. CST.

Update: Housing Availability

The AHA's housing service has closed with the cut-off date of December 22.

Two hotels will continue to take reservations.  Other hotels are sold out.

Both hotels will extend the AHA's meeting rates of $109 single, $129 double, $20 for each additional person (for the Westin, until December 29, 2011).

After you have registered for the meeting, you will receive contact information and instructions as part of the online process and also in a preregistration e-mail confirmation.

Suites

To book a suite you must submit a housing form by e-mail or fax. This form can be found in two places:

  1. Registration Confirmation Page - the last page of the online registration process is a confirmation page. On this page, find the "Housing Information" section. Within this section, look for the text "To request a Suite" and click on "Click here to download the print copy of the housing form."

  2. Registration Confirmation e-mail - after registering for the meeting you will receive a confirmation e-mail. Within this e-mail, you'll find a "Hotel Accommodations" section. Within this section, look for the text "To request a Suite" and click on "Click here to download the print copy of the housing form."

    Shuttle Service Connecting Meeting Hotels

    A complimentary shuttle service will operate among the four meeting hotels beginning Thursday, January 5, 1:00 P.M. through Sunday, January 8, 2:00 P.M. Shuttles will operate on a continuous loop, with stops at each hotel. Dispatchers will be at hotels during all hours of service to maintain schedules and to assist attendees with information. Wheelchair-accessible shuttles will be available.

    On Thursday, January 5, buses will run every 10 to 15 minutes between 1:00 and 6:30 P.M. Additional buses will be added and will run with greater frequency between 6:30 and 8:00 P.M. to the Sheraton Chicago for the plenary session. From 8:30–10:00 P.M., buses will run every 20 minutes and from 10:30–1:00 A.M., every 7 to 10 minutes.

    On Friday, January 6, and Saturday, January 7, buses will operate from 7:30 A.M. to midnight. Buses will generally run every 7 to 10 minutes except between 8:30–9:30 A.M., 11:30 A.M.–2:30 P.M., and 4:30–5:30 P.M. when they will operate every 5 to 7 minutes. Buses will continue to operate in 5 to 10 minute intervals between 5:30 P.M. and midnight each day.

    On Sunday, January 8, buses will operate between 7:30 A.M. and 2:00 P.M. They will run every 5 to 7 minutes an hour before and after sessions, and every 7 to 10 minutes at other times.

    More Information

    Acknowledgement

    Acknowledgements are available via e-mail, fax, or mail. Acknowledgements will be e-mailed when e-mail addresses are provided unless otherwise indicated. All processing deadlines and cancellation policies are noted on acknowledgements. The hotel will not send a separate confirmation. A reservation ID number will be provided on the acknowledgement. This number is for referencing reservations through the AHA Housing Desk only. Attendees can contact hotels directly a week prior to arrival for the hotel's confirmation number.

    Early Departure Fee

    Some hotels have an early departure fee. Guests wishing to avoid an early checkout fee should advise the hotel at or before check-in of any change in planned length of stay. Hotels will inform attendees of this potential charge upon check-in.

    Credit Card Guarantee

    A credit card guarantee or if payment is to be by check, one night's room and tax deposit, is required for all hotels. Credit cards must be valid through January 31, 2012. Major credit cards (MasterCard, Diners Club, Visa, American Express, and Discover) are accepted.

    Cutoff Date

    The cutoff date for the AHA's official block at all hotels is December 16, 2011. After this date, remaining inventory in each hotel's block will be released and rooms will be available at the AHA's convention rates on a space available basis at the time of reservation. Frequent updates on availability will be posted on the AHA's web site. If hotel blocks sell out, the AHA will secure additional hotel rooms and post details on the AHA web site

    Changes, Cancellations, and New Reservations

    Meeting attendees can continue to make and modify (depending on availability) or cancel reservations from September 15 through December 19, 2011. Starting December 20, attendees will call their selected hotel to cancel a reservation. (From December 17 through December 19, the AHA Housing Desk will transfer reservation information to individual hotels for processing.) Attendees must cancel at least 72 hours prior to the reserved arrival date or one night's room and taxes will be charged.
