2014 Information on Catered Events

2014 Annual Meeting


For affiliates scheduling luncheons on January 3rd or 4th, proofs are attached.  The entry lists the hotel/room assignment if onsite; location/address if offsite.  Note that full details about luncheons are listed in the body of AHA numbered sessions and are cross-referenced to your organization’s listing in the affiliated society section of the Program.  In some instances, information is needed: the presiding individual, address title, location, or the speaker's name/affiliation.

Each affiliate sponsoring a catered event is responsible for contacting the catering representative to arrange for all food/beverage for its events, including establishing credit and/or making prepayment as required.  You should contact the caterer well in advance of your event—your group may be required to prepay (depending on order, number of attendees, etc.).  To avoid problems at the meeting, you should clarify any matter of concern well in advance.  It is best not to assume that everything is in order—during the four-day event, there are several dozen breakfasts, luncheons, coffee hours, and receptions.  It never hurts to give a final check to your arrangements.  In most cases, a final guarantee is due within 48 hours of your event.
