Affiliate Sessions and Events
Affiliate Session Types
Most sessions and roundtables are scheduled during the AHA's standard time slots:
- Thursday: 1:30-3:00 p.m., 3:30-5:00 p.m.
- Friday: 8:30-10:00 a.m., 10:30 a.m.-12:00 p.m., 1:30-3:00 p.m., 3:30-5:00 p.m.
- Saturday: 8:30-10:00 a.m., 10:30 a.m.-12:00 p.m., 1:30-3:00 p.m., 3:30-5:00 p.m.
- Sunday: 9:00-10:30 a.m., 11:00 a.m.-12:30 p.m.
Due to space restrictions, affiliates may use no more than 4 rooms per time slot. Affiliates may also schedule sessions and roundtables at other times.
Formal sessions: The formal session is organized around a chair and a commentator, with two or three presenters speaking for 15 minutes.
Discussions/Roundtables: The roundtable or the discussion format—which can be used for the presentation of original research, work-in-progress, or discussion of professional concerns—offers short 10-minute presentations, a fluid organization (not limited to the chair/presenter/commentator structure), and ample time for discussion with the audience. Roundtable presentations do not have titles.
The following events may be scheduled outside the AHA’s regular session slots by selecting “other” and entering inclusive hours at the prompt.
Affiliates may identify a chair, speaker, or presiding officer for these events, if desired. Presentation titles may also be included. Events may also be left “empty” if only the title should be listed in the Program.
Meetings/Board Meetings/Business Meetings: may be scheduled as desired by selecting “other” and entering inclusive hours at the prompt.
Luncheons: Luncheons held at the meeting hotels can be scheduled on Friday and Saturday from 12:00–1:30 p.m. A pre-set luncheon time slot is included in the scheduling options.
Breakfasts: Breakfasts are generally scheduled from 7:30–9:00 a.m., and must conclude no later than 9:00 a.m.
Receptions: Receptions can be scheduled on Thursday, Friday, and Saturday evenings for 1-, 1 ½-, or 2-hour time blocks. The AHA Research Division has decided to allow affiliates to schedule sessions and meetings concurrent with the AHA’s presidential address on Friday, January 6, from 5:30-7:00 p.m. We ask only that no receptions be scheduled prior to 7:00 p.m. on Friday evening. As the hotels need an hour to turn rooms from session seating to reception set up, evening events may be scheduled as follows: Thursday, January 5, from 6:00 p.m. onward (one hour after sessions conclude at 5:00). Friday, January 6, sessions and meetings may begin at 5:30 p.m., half an hour after sessions end at 5:00. Receptions may be scheduled from 7:00 p.m. onward. Saturday, January 7, from 6:00 p.m. onward (one hour after sessions conclude at 5:00).
Other: Affiliates should use this designation for events that do not fit the categories listed above. They will be prompted to enter a short name identifying the event type.
